Time Management and Prioritization Techniques

 

A small cosy group gathered over lunch for a conversation on overflowing inboxes and obsessing about work during the night. We focused on the impact this could have on stress levels day to day and the sense of often being completely overwhelmed – clearly not knowing where to begin. 

 

There were several shared learnings, tips, and tools shared and discussed. This was alongside reflecting on one’s own self, behaviours, physical wellbeing of self, teams, and those around one.

 

Some key sound bites for the engaging discussion:

 

  • Use of the “4Ds” approach to emails on a regular daily basis – delete/do/defer/delegate.
  • Use the Time Prioritization Matrix – regularly identify the Big Rocks, Pebbles and Sand.
  • Leverage the Taks List on Outlook – set date and flags.
  • Make an appointment/meeting with yourself and carve out time to reflect.
  • Know your natural rhythms and leverage these.
  • Application of reason, purpose, and trade-offs.
  • Engage regularly with your teams, track/monitor/delegate/support each other.
  • Limit distractions.
  • Consciously consolidate tasks- apply batching techniques.
  • Do a time audit on self to gage tasks/time.
  • Follow a named protocol for documents.
  • Create a “halfway to bin folder.”
  • Create a reference material folder for frequently used documents.
